SMART Management Deploys IceWarp to Support Healthcare Management Projects

SMART Software, an IT division of SMART Management, was created to increase efficiency and streamline operations for clinics through the use of technology. SMART Software’s goal of a completely “paperless” clinic was realized in 2011 and has improved customers’ ROI and ability to spend more time delivering high quality patient treatment.

The innovative SMART software package performed so well that SMART made a decision to offer it to other clinics. It has proven so successful that SMART’s electronic medical record software is now used by clinics throughout the United States as well as several installations in Europe and the Caribbean.

The SMART package is a state of the art EHR that manages the day-to-day operations of a Behavioral Health Facility. Key Features include electronic medication dispensing, e-prescribing, electronic signatures and documentation, 3rd party billing, automatic urine drug screen downloads, and ONC certification.

SMART Software is the result of real world experience and a passion for innovation and has evolved to address the following critical areas:

• Admission Information / Statistical Data Collection and Reporting.
• Clinical Treatment Planning, Service Scheduling, Individual / Group Note Writing.
• Methadone and Suboxone® Automated Dispensing, Inventory and DEA Record Keeping.
• Drug Testing: Randomly Selected with Automated Result Downloads and Staff Alerts.
• Appointment Scheduling: Waiting List, Intake, Medical, Clinical, Group, Alerts.
• Cash Collections: Automated Balance Due Alerts, Payment Plans, Financial Reports.
• 3rd Party Billing: EDI 835 and 837 Transactions, APG Billing NY State, No Data Entry Required, Financial Reports.
• Paperless Clinic: Electronic Signatures for Staff and Patients, Electronic Forms, No Filing Required.

SMART Management also serves as a management entity for another organization – Discovery House, a national, outpatient addiction treatment program. Discovery House is a professional and confidential addiction program dedicated to providing our patients with the highest level of care.

Its methadone maintenance program has been successfully treating opiate dependent individuals since 1989. Discovery House has expanded to include a "Drug-Free" program to help people who are suffering from any type of addiction. Our group of health care professionals place great emphasis on counseling in both individual and group settings. In addition, patients receive HIV, STD, nutritional, housing and job placement counseling.

Problem:

SMART Software was managing email infrastructure for both organizations – SMART Management and Discovery House. While initially the systems were good enough to support their business needs, rapid growth prompted the IT team to look for either an upgrade or a totally new product.

“SMART Management was running Microsoft Exchange 2010, and it did not have many issues,” explains Mr. Mason Snyder, Network Administrator at SMART Management, Inc.
“Discovery House, however, was running Microsoft Exchange 2003. The hardware was too old and too slow, it struggled to work with new mobile devices. It was on the plan to be upgraded to Exchange 2010 at a minimum.”

SMART Management’s IT team reviewed the Microsoft Exchange upgrade options, but, following the costs and technology issues analysis, decided to look at other options first, including cloud solutions. “We were also considering some hosted products, like Google Apps or Office 365,” recalls Mr. Snyder.

However, none of them seemed to be a good match.

Solution:

After a thorough analysis, SMART Software decided to go for an on-premise solution that would be the most adequate Microsoft Exchange replacement. IceWarp turned out to be the finalist.

The company was impressed with IceWarp’s features and scalability.

“Once we found IceWarp we immediately realized that this was something we wanted to work with and move both organizations to it,” says Mr. Snyder. “It seemed to be a good fit. Also, we learned that IceWarp catered to Internet service providers who were reselling e-mail services – it proved that we would have room for growth, and, possibly could start offering messaging solutions to our customers.”

Results:

IceWarp allowed SMART Software to consolidate and streamline its infrastructure.

“We were able to pull both organizations into a single server and still customize them to have different portals, icons and logos,” says Mr. Snyder.

Transition to IceWarp made the server administration significantly easier – unlike it was in the past.

“Most solutions store information in a giant database or multiple databases, and it’s really difficult to access when it’s needed,” says Mr. Snyder. “With Microsoft Exchange 2010, for example, if I had to check where email queues were, I had to launch a different console and it took 15-20 seconds to fire it up.”

IceWarp presented a distinct alternative to this concept.

“With IceWarp it’s different,” notes Mr. Snyder. “I like the fact that it is storing everything as flat files within a single location.”

This approach also made server administration a different experience.

“From one server console you can really see and access just about anything that’s going on in the e-mail system,” says Mr. Snyder. “The logging is incredibly powerful – sessions, statistics, queues. It’s all in one place, if I need something, I can get to it quickly. In IceWarp everything is at the fingertips and I really like that. Plus, it’s a very stable product, and its directory has everything backed up.”

IceWarp’s deployment allowed SMART Software to expand the use of mobile devices throughout the organization.

“We have purchased a hundred ActiveSync licenses, and now we have our employees connected to the corporate email through an array of tablets and smartphones,” says Mr. Snyder.

Future:

At this point, SMART Software is using IceWarp only for its internal needs. This, however, can change in the near future. “We have a lot of customers we sell our software to and we see the future in selling of the IceWarp- based software systems, because IceWarp was initially built to serve ISPs,” notes Mr. Snyder.

“I have already recommended IceWarp and talked about the product on Facebook – how much I like it,” concludes Mr. Snyder. “Many customers would like to try it. It’s a great product!”
